How a quote is built

Every step is visible on the Quote Calculator, so you can see where the price comes from.

  1. Measure the lawn: lot size minus house, driveway and walks, and beds gives the mowable lawn. Add the linear feet of hard edges, then pick mower, complexity, frequency, bagging and miles.
  2. Minutes: mowing per 1,000 sq ft for your mower, plus trimming, edging, blowing and setup, × complexity. Biweekly and one-time visits get a longer-grass factor.
  3. Cost per visit: labor (wage + burden), mower $/hr, handheld & truck $/hr, travel and overhead. That's your break-even.
  4. Price: cost ÷ (1 − margin), rounded up to your step, never below your minimum visit price.
  5. Season: visits in the season × price, plus seasonal services (each priced as its own trip). Then a monthly plan and a prepay price.

Fertilizer, weed control and pesticide licenses. Most states and provinces require an applicator license to apply weed control or other pesticides for hire, and some also license fertilizer application. Some provinces (for example Ontario and Quebec) also restrict cosmetic pesticide use on lawns. The agreement, proposal, seasonal program and price list all carry a "licensed applicator where your state requires it" note, and the kit gives no product rates. Check your local rules before you offer these services, and follow the product label.

Good to know

  • Small lawns often hit the minimum visit price, so their price-list rows look flat. That's intended; lower the minimum to change it.
  • The Job Log uses your current Settings and an average equipment cost per crew-hour, so if you change your wage, past visits are recalculated. Monthly-plan customers are logged per visit.
  • In Excel, protected sheets don't allow inserting rows. Unprotect them (Review › Unprotect Sheet, no password) to change the layout.
  • The agreement has a "not legal advice" box. Insurance is an optional bracketed sentence, and auto-renewal is a bracketed choice with a note to check your state's rules.
  • Written for US businesses (miles, sq ft, state rules); the forms are fully editable for anywhere else.

Questions

How does the calculator come up with a price?

It works out the mowable lawn (lot minus house, hardscape and beds), then the person-minutes for mowing (by mower), trimming, edging, blowing and setup, adjusted for complexity, frequency and bagging. Labor (wage plus burden), mower and handheld equipment, travel and overhead give the cost per visit. The price is that cost at your margin, rounded up and never below your minimum visit price. Visits per season, seasonal services, a monthly plan and a prepay price follow from there.

Are the default numbers right for my area?

They're starting assumptions ($25/hr wage, 12% burden, 30% margin, $45 minimum visit, a 30-week season, mower speeds from 0.9 to 3.5 minutes per 1,000 sq ft), not market research. Time a few lawns and put in your own numbers.

Can I bill customers monthly?

Yes. The season total is split into equal monthly payments (8 by default, for April to November), and there's a prepay-the-season discount. The Client Quote shows per visit, per season and per month.

Does it cover fertilizer and weed control?

It prices fertilizer applications like any other seasonal service, from your own minutes and materials. It gives no product rates, and the forms and price list carry a note that most states and provinces require an applicator license for hire. Check your local rules.

Does it work in Google Sheets?

Yes. Upload the .xlsx to Google Drive, open it, then choose File › Save as Google Sheets. It uses only functions both apps support, with no macros. Google Sheets doesn't keep Excel's formula protection, so type only in the yellow cells there.

Can I get a refund?
