How a quote is built

Every step is visible on the Quote Calculator, so you can see where each surface's price comes from.

  1. Enter the job: up to 10 surfaces from a list of 12 (pick one and type its sq ft or linear ft), stories, condition, maintenance plan, round-trip miles and add-ons.
  2. Tech-hours: measurement ÷ your production rate × condition (Light 0.85×, Average 1.0×, Heavy 1.35×) × stories (2 stories 1.3×, 3 stories 1.6×) on walls, roofs and gutters.
  3. Cost: tech-hours × (wage + labor burden + equipment & fuel) + chemicals. Setup, travel and overhead are shared across the surfaces by their hours.
  4. Price: each surface's cost ÷ (1 − margin), rounded up to your step. Add-ons go on top, a minimum job charge fills any gap, and plan discounts come off last.
  5. Checks: red if the price is below break-even or pays less than your wage plus burden per tech-hour, amber if the margin is under your goal. Type any price to test it.

Storm drains, chemicals and safety. Both job checklists include PPE, "never mix bleach with acids or ammonia" and "keep wash water out of storm drains: block, divert or recover as local rules require". The house-wash checklist adds ladder safety, and the walkthrough sheet has a "storm drain nearby" check. The chemical log says to follow the product label, the SDS and your local wastewater rules; it gives no mix ratios. Wastewater and runoff rules vary by state and city, so check yours.

Good to know

  • House washes are priced by the home's living-area square feet, a common industry shortcut. If you measure wall area instead, rename the unit and change the rate.
  • The Job Log uses your current Settings for labor, equipment, travel and overhead, so if you change your wage, past jobs are recalculated.
  • In Excel, protected sheets don't allow inserting rows. Unprotect them (Review › Unprotect Sheet, no password) to change the layout.
  • Insurance appears only as an optional, bracketed sentence in the agreements. The agreements carry "not legal advice" notes, and the invoice leaves the sales-tax line blank with a note to check your state's rules.
  • Written for US businesses (miles, sq ft, state rules); the forms are fully editable for anywhere else.

Questions

How does the calculator come up with a price?

For each surface, it turns the measurement into tech-hours using your production rate (sq ft or linear ft one tech cleans per hour), adjusted for condition and, on walls, roofs and gutters, for height. Tech-hours times wage, labor burden and equipment, plus chemicals, gives the direct cost. Setup, travel and overhead are shared across the surfaces by their hours. Each surface is priced at your profit margin and rounded up. Add-ons go on top, the minimum job charge fills any gap, and a maintenance-plan discount comes off last.

Are the default rates right for my area?

They're starting assumptions ($25/hr wage, 12% burden, $7 per tech-hour for equipment and fuel, 40% margin, $175 minimum, production rates for a 4 GPM machine with a surface cleaner and soft-wash setup), not market research. Time your own jobs and put in your own numbers.

Does it work in Google Sheets?

Yes. Upload the .xlsx to Google Drive, open it, then choose File › Save as Google Sheets. It uses only functions both apps support, with no macros. Google Sheets doesn't keep Excel's formula protection, so type only in the yellow cells there.

Does it include chemical mix ratios?

No. The chemical log and checklists tell you to follow the product label and SDS and your local wastewater rules. The workbook only counts chemical cost per 100 sq ft, which you set.

Is the mileage rate a tax deduction figure?

The vehicle cost per mile is prefilled with the IRS 2026 business standard mileage rate (76¢ from July 1, 2026), but here it's only used to estimate trip cost for pricing. Change it to your own number. It's not tax advice.

Can I get a refund?
